    Choosing a software licence

    Choose a Microsoft licence by what it covers (the operating system or the applications), how many devices or users it applies to and how long it runs. The licence type matters as much as the edition.

    Edition
    Windows 11 Home suits personal use, and Pro adds domain join, BitLocker management, Remote Desktop hosting and group policy for business PCs. Office editions differ in the applications included, so check the list for Word, Excel, PowerPoint, Outlook and Access.
    Licence type
    OEM licences stay with the first device they are activated on, and retail licences can generally be moved to another PC under Microsoft's licence terms. Volume licensing covers many devices under one agreement and suits organisations.
    Perpetual or subscription
    A perpetual licence, such as Office Home and Business, is bought once for one version. Microsoft 365 is a subscription that renews each year and includes updates and cloud storage, so choose the one that fits how you manage updates and renewals.
    Windows 11 requirements
    Windows 11 needs a compatible 64-bit processor, 4 GB of RAM, 64 GB of storage, UEFI with Secure Boot and TPM 2.0. Check that the PC meets these before you buy a licence, because Windows 10 reached end of support on 14 October 2025.
    Proof and delivery
    Keep the product key and the GST invoice with the PC records. You will need them to reactivate Windows or Office after a reinstall, and as proof of a genuine licence in an audit.

    Installation and compatibility

    • Download installation media from Microsoft's official site and create a USB installer with the Media Creation Tool.
    • Back up data before installing or upgrading, and keep driver packages for older PCs.
    • Activate the licence soon after installation, with the PC connected to the internet.
