1 Who we are and what this policy covers
This policy explains how D.M. Distributors, a unit of Datamation, Guwahati, Assam, handles personal data collected through this website and when you contact our sales desk by phone, WhatsApp or email. We are the data fiduciary for this data under the Digital Personal Data Protection Act, 2023 (the DPDP Act), and we handle it in line with that Act and the Information Technology Act, 2000 and the rules made under them.
It applies to visitors, dealers, buyers and job applicants. It does not cover other websites we link to, or the privacy practices of WhatsApp or of the brands whose sites you may visit.
2 What we collect
| What we collect | When | Examples |
|---|---|---|

We do not ask for passwords, or for bank or card details, through this website, and the website has no online payment. Please do not send such details in a form or message.
3 How we use personal data
We use personal data to:
- reply to your enquiry and prepare quotations;
- take, confirm, invoice, deliver and support orders, including warranty claims;
- register and manage dealers and assess credit applications;
- contact you about your enquiry, order or service request by phone, WhatsApp or email;
- keep accounts and tax records and meet our legal obligations, for example under GST law;
- protect the website and our business against misuse, fraud and security incidents;
- consider job applications.
We do not sell personal data. We send product news or offers only to people who have asked for them, and you can stop them at any time.
4 Consent and other lawful grounds
Consent. Our forms ask you to agree to be contacted about your enquiry by phone, WhatsApp or email, as described in this policy, before they send anything. We use the details you give for that purpose. You can withdraw your consent at any time (see section 9). Withdrawal does not affect what we did before you withdrew.
Other uses the DPDP Act allows. We also use personal data without fresh consent where the Act permits it, including when:
- you give us your details voluntarily for a stated purpose, such as a quotation, and have not told us you object;
- we must keep records or make disclosures that the law requires, such as GST and accounting records; and
- we must comply with a court order or a lawful request from an authority.
5 WhatsApp hand-off
Many enquiries start on WhatsApp, a service of Meta. When you send a form, the website opens WhatsApp (the app or WhatsApp Web) with your enquiry typed into a message addressed to our sales number. Nothing reaches us until you press send in WhatsApp.
When you send a message, we receive it together with your WhatsApp number and profile name, as with any WhatsApp message, and we keep it as a business record. WhatsApp's terms of service and privacy policy govern your use of WhatsApp and the way Meta handles your messages and data. We do not control them.
If you prefer not to use WhatsApp, you can call the sales desk or write to us instead.
6 Who we share it with
We share personal data only where it is needed for the purposes above.
- Brands and authorised service centres. Your name, contact details, product details and fault description, for warranty claims.
- Logistics partners. Couriers and goods transporters receive the consignee's name, address and phone number to deliver your goods.
- Service providers. Companies that host this website, run our email, messaging and accounting tools, and similar services. They handle data on our instructions.
- Banks and advisers. Banks, accountants, auditors and legal advisers, where needed for payments, accounts and advice.
- Authorities and courts. Where the law requires, or to establish or defend a legal claim.
We do not sell personal data or share it for third-party advertising. Some service providers, and WhatsApp, may process data outside India. The DPDP Act permits this except to countries the Government of India restricts, and the data stays subject to our duties under the Act.
7 How long we keep it
- Enquiries and quotations that do not lead to an order: two years after our last contact.
- Orders, invoices and payment records: as long as tax, accounting and company law require, which can be several years.
- Warranty claim records: for the warranty period of the product and a reasonable time after it, so that we can support claims.
- Job applications that do not lead to employment: one year.
- Server logs: for the period set by our hosting provider.
After these periods we delete the data, or remove the details that identify you, unless the law requires us to keep it. We also delete or correct data sooner when you ask and the law allows.
8 How we protect it
We use reasonable security safeguards for personal data, as the DPDP Act and the Information Technology Act, 2000 require. Connections to this website use HTTPS, and access to enquiry and customer records is limited to staff who need it to do their work.
No method of sending data over the internet is completely secure. If a personal data breach affects you, we will tell you and the Data Protection Board of India, as the law requires.
9 Your rights
Under the DPDP Act you can:
- Ask for information. Get a summary of the personal data we process about you, how we use it and who we have shared it with.
- Correct and update. Ask us to correct inaccurate data, complete incomplete data or update it.
- Erase. Ask us to erase data you no longer want us to hold. We will, unless the law requires us to keep it, for example tax records.
- Withdraw consent. Withdrawing is as easy as giving consent. We then stop the processing that relied on it, though we may be unable to continue an enquiry or order that needs your data.
- Complain. Use our grievance process, described in section 13 and on the grievance redressal page.
- Nominate. Name another person to exercise these rights for you if you die or cannot act for yourself.
To use a right, contact us as set out in section 13. We may ask you to confirm your identity first. The Act also asks you to give accurate details and not to make false or frivolous complaints.
10 Children
This website is meant for businesses and adults. We do not knowingly collect personal data of anyone under 18, and we do not track children or target them with advertising. If you believe a child has given us personal data, tell us and we will delete it.
11 Browser storage and cookies
The website keeps your enquiry list, and your choice of list or grid layout on product pages, in your own browser using local storage. This data stays on your device. The enquiry list is sent to us only if you send an enquiry that includes it. You can empty the list from the enquiry list page, or clear everything by clearing your browser data.
The website does not set advertising or analytics cookies by default. The cookie policy lists what is stored and how to clear it. If we add analytics later, we will update this policy and the cookie policy, and ask for your consent where the law requires.
12 Changes to this policy
We may update this policy when our practices or the law change. The date at the top of the page shows the latest version. Where a change affects how we use data you have already given us and the law requires your consent, we will ask for it again.
